A scheduled job is just an instruction that runs later.

You choose the job, the time, and what you want back. It might be a Monday morning summary, a weekly list of unanswered enquiries, or a reminder to review your quotes.

ChatGPT Work makes this fairly easy. You can do the same thing in Claude CoWork. Open ChatGPT, select Scheduled in the sidebar, and create a task. You can also ask ChatGPT to create it for you. OpenAI’s guide to Scheduled Tasks shows the steps.

Start with a small job:

“Every Friday at 9am, review the new enquiries in my Gmail and give me a list of people who need a reply. Do not send any messages.”

If you do not want to connect Gmail yet, start with a task that needs no app access, such as a weekly reminder to review your outstanding quotes.

The important bit is not clever wording. It is choosing one job you already do and making the result clear.

Then think about what happens when the job misses a run.

If the job runs on your own computer, the computer being off can be enough to stop it. ChatGPT Work’s scheduled tasks are a little different because they run in ChatGPT. Even then, a task can be paused, lose access to an app, or fail to produce a useful result.

To make the job dependable, keep a record of the last successful run. Depending on the tool, that might be its run history or a small note the task updates each time. Add an instruction like this:

“Before you start, check the date of the last successful run. If one scheduled run is missing, do that work once and tell me. Do not repeat work that already completed. If the files or connected app are unavailable, stop and tell me.”

That is the whole idea. The scheduled job says when the work should happen. The recovery instruction says what to do when it did not.

Try one job before you build a whole system. Pick a weekly report, follow-up list or inbox check. Start with the guide, and make the result something you can check in thirty seconds.
